Surgery Scheduler - Specialty Clinic St. Paul Maplewood Area

Located off 35E and Roselawn Ave. in St. Paul – on the border of Maplewood

Daytime hours Monday - Friday

Primary Duties

  • Communicate with providers, patients and hospital staff to schedule surgeries, procedures, diagnostic tests and appointments.
  • Requires recent medical surgery scheduling experience, strong communication, problem solving and attention to detail to maximize surgeon time and coordinate with other specialist groups on complex surgical cases.
  • Fast paced, energized work environment using NextGen EMR system.
  • CRSAL is a large, independent surgical specialty practice.

Additional Position Description

  • Schedule surgeries, office, diagnostic testing, colonoscopy or other appointments confirming with patient, hospitals and other facilities.
  • Optimize surgical schedules by coordinating the schedules of multiple providers on surgical cases as needed.   
  • Impact patient experience by communicating, listening and responding to create a positive, calming, high-quality patient experience. 
  • Proactively keep patient apprised of provider schedule. Insure all outside/internal records are present at time of scheduled appointment. Promote a positive image of the practice. 
  • Gather/verify demographic data and provide patient with education/ instructions, provide pertinent information as needed. Schedule follow up tests/cases as appropriate. 
  • Interact daily with providers to review and adjust schedules to enhance provider efficiency and maximize physician time.
  • Work to reduce gaps in provider schedules by contacting/moving appointments/procedures if appropriate. Insure sufficient travel time is included and provider schedule changes are communicated.
  • Manage incoming/outgoing phone calls and answer clinic phone queue as needed. 
  • Appropriately answer, screen, document, route and relay provider information to patient, referring provider or others. 
  • Demonstrate a high level of professionalism in dealing with confidential and sensitive information. 
  • Accurately document actions taken and support patient charting utilizing NextGen EMR
  • Schedule surgical orders within electronic health system; run, monitor and reconcile surgical/other reports, sending patient results as directed by provider and/or clinic protocols. 
  • Support organizational regulatory compliance (i.e. patient safety, HIPAA, etc.).
     

Qualifications and Requirement

  • To be a qualified candidate, you must have 1-3 years recent experience scheduling surgical procedures in a clinic/hospital or out-patient surgery center.
  • Superior communication skills (verbal and written) 
  • Strong computer knowledge and experience working in with an Electronic Medical Records (EMR) system. Experience with NextGen software a plus!  
  • Strong organizational skills; ability to manage multiple priorities and facilitate efficient patient/work flow within the clinic. 
  • Ability to set the tone for a professional and pleasant environment for patients, co-workers, and providers 
  • Understanding of medical terminology and medical clinic flow 
  • Basic knowledge of anatomy and physiology
  • Knowledge of HIPAA guidelines and patient confidentiality
  • Ability to handle a high volume of incoming phone calls and prioritize workload 
  • High degree of courtesy, professionalism and customer service skills 
  • Ability to proficiently speak, read, and write in English 
  • Possess valid driver's license, good driving record and ability to travel between clinic locations as needed in a reliable and efficient manner. Position may require occasional travel across metro area clinics as needed for backup staffing. 
  • May help turn over exam rooms in a very occasional back up capacity

Physical/Mental Requirements
 
While performing the duties of this job, the employee is frequently required to do the following (not an all-inclusive list):

• Coordinate multiple tasks simultaneously.
• Must be able to tolerate protective equipment including; gowns, gloves, facial masks, and eye protection, as needed in a back up capacity.
